About this Policy

HaltH Pty Ltd (ABN 80 678 292 165) and its related bodies corporate (HaltH, we, our, or us) operate an online platform that connects health providers with their clients for bookings, payments and health fund claiming (Platform).

This Privacy Policy explains how we handle your personal information in accordance with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth) (Privacy Act).

In this Privacy Policy, 'you' or 'your' refers (as applicable) to:

  • healthcare businesses, and their individual practitioners, employees and contractors, who use the Platform (Health Providers);
  • individuals who use the Platform to book and pay for appointments with Health Providers (Clients);
  • anyone else who interacts with HaltH or the Platform, including contractors, suppliers, job applicants and website visitors.

This Privacy Policy applies to personal information we collect in connection with the Platform. It does not apply to employee records that are directly related to a current or former employment relationship with us, which are exempt under the Privacy Act. Information collected from contractors and suppliers is handled in accordance with this Privacy Policy unless otherwise exempt.

By signing up and using the Platform or otherwise providing your personal information to us, you accept the terms of this Privacy Policy.

What information do we collect?

The personal information we collect depends on how you engage with us. This may include:

  • Your name, postal address, date of birth, gender, contact details, emergency contact details;
  • If you are a Health Provider, your professional registration details, credentials, experience, provider numbers and practice information;
  • If you are a Client, health information as defined under the Privacy Act including information about your health, including appointment reasons, health services received, medical records and notes, and medications;
  • Financial information, including payment card details for Clients and bank account information for Health Providers;
  • Private health insurance fund (Health Fund) membership details and related information;
  • Transaction and billing records and information;
  • If you are applying for a job with us, information about your work history, skills and qualifications;
  • Information about how you interact with our Platform, which is typically collected through cookies and similar technologies such as the pages you visit, features you use, and your browsing patterns. For registered users, this may be linked to your HaltH account. For unregistered visitors, we collect this information on an anonymous, aggregated basis only. This helps us improve our services and your experience;
  • Any other information you provide to us when you create an account on the Platform, or otherwise contact or interact with us.

Some of the personal information we collect may be classified as sensitive information under the Privacy Act, including health information. We handle this information in accordance with higher standards of protection as required by law.

How we collect your personal information

We collect your personal information in a range of ways.

Directly from you

We collect personal information directly from you when you:

  • Create an account or complete your profile to use the Platform
  • Book appointments or provide healthcare services
  • Make payments or submit health fund claims
  • Contact us or communicate with other users of the Platform
  • Apply for a job with us.

Collecting from third parties

We may collect your personal information from third parties, including from:

  • Your Health Providers when they use our Platform to manage your bookings and healthcare services (if you're a Client)
  • Practice management systems used by Health Providers that connect with our Platform
  • Third party providers that provide payment processing services through the Platform (Payment Processors) when processing transactions
  • third parties that provide health fund claiming services for the Platform (Health Funding Partners) when processing claims
  • Family members, legal guardians or other people you've authorised to provide your information to us.

Automatic collection

We may collect your personal information automatically through:

  • Cookies and similar technologies
  • Server logs and analytics tools. Our analytics tools may include third-party services such as Google Analytics, which collect aggregated data about how users interact with our Platform to help us improve our services. These tools operate on de-identified or aggregated data wherever possible
  • Your device when you access our Platform.

You don't have to provide your personal information to us, but without it, we may not be able to offer you certain Platform features.

Consent

By signing up to the Platform, you give your express consent to our collection, use, and disclosure of your sensitive information (including health information) as outlined in this Privacy Policy.

How and why we use your personal information

We only use your personal information where it is reasonably necessary for our functions or activities. In particular, we use your personal information to:

  • Provide our services: We use your information to create and maintain your account, facilitate bookings, process payments, handle health fund claims, maintain Platform security, provide customer support, and resolve disputes.
  • Keep you informed: We may use your personal information to send you booking confirmations, reminders, and service updates, and respond to your inquiries.
  • Improve the Platform: We may use your de-identified personal information to analyse how people use our Platform to enhance the user experience, fix technical issues, develop new features, and generate insights that help us make the Platform better.
  • Meet our obligations: We may use your personal information to comply with legal obligations, enforce our terms, detect fraud, and protect our legal rights.
  • Share relevant updates: We will only send you marketing communications with your express consent. If you provide your consent, we may use your personal information to send you information about our products and services, or conduct promotions or surveys. You can withdraw your consent and opt out anytime through your account settings or by contacting privacy@halth.com.

Who we share your information with

We may share your personal information with:

  • Platform users: If you're a Client, we share your personal information with your chosen Health Providers. If you're a Health Provider, we share your profile with Clients searching for healthcare services through the Platform. Once your information is provided to a Health Provider, they are responsible for managing that information in accordance with their own privacy obligations. HaltH is not responsible for how Health Providers independently use or disclose your information outside the Platform.
  • Service providers: We share your personal information with service providers who help us deliver our services, including Payment Processors who handle transactions, Health Funding Partners who facilitate health fund claims, cloud hosting and data storage providers who securely store your information, analytics providers who help us understand Platform usage, communication services for emails and messaging, and customer support tools that help us respond to your inquiries.
  • Health Funds: We share your personal information with Health Funds to process claims, verify eligibility and benefits for healthcare services, and facilitate upfront claiming and gap payments.
  • Other parties: We may disclose your personal information to anyone else with your consent, to comply with legal obligations, to protect our rights or safety, in connection with a business sale or corporate transaction, or with our related bodies corporate.

If you are under 18 years of age

If you're under 18, you must have your parent or legal guardian's approval before providing personal information to us.

Cookies

Cookies are small files stored on your device that help us improve your experience on our Platform. They allow us to remember your preferences, analyse how the Platform is used, and personalise your experience.

We use both persistent cookies (which stay on your device after you close your browser) to remember your preferences for future visits, and session cookies (which are deleted when you close your browser) to manage the current display of information.

You can adjust your browser settings to control cookies, but this may affect your ability to use some Platform features.

Storage and security

We take reasonable steps to protect your personal information, including:

  • Using secure, encrypted servers located in Australia
  • Implementing access controls and security procedures
  • Using password protection, firewalls and encryption
  • Monitoring our systems for unauthorised access

No online service is completely secure, so we encourage you to keep your login details safe and contact us immediately if you suspect any security issues.

We keep your personal information for as long as is reasonably necessary to fulfil the purposes for which it was collected, and to comply with our legal obligations. When we no longer need to keep your personal information, we'll take reasonable steps to securely destroy or de-identify it.

Overseas recipients

Some of our service providers store or process data outside Australia, including in the United States, Singapore, the United Kingdom and the European Union. When we share information with overseas recipients of your personal information, we take reasonable steps to ensure that they do not breach the Australian Privacy Principles, including through contractual arrangements where appropriate.

Accuracy of your information

We take reasonable steps to ensure the personal information we hold is accurate and up-to-date. If you believe that any information we hold about you is inaccurate, please contact us and we'll take reasonable steps to correct it.

Your privacy rights

Access to your information

You can request access to the personal information we hold about you by contacting our Privacy Officer. We'll respond within a reasonable timeframe and, where possible, provide the information in the format you request.

Making complaints

If you have any concerns about this Privacy Policy or about the way we have handled your personal information, you can make a complaint by contacting the Privacy Officer. We will generally acknowledge your complaint within a week, and in most cases we will respond to your complaint within 30 days. If the matter is more complex or our investigation may take longer, we'll let you know.

If you are not satisfied with our response to your complaint, or you consider that we may have breached the Privacy Act, you may also contact the Office of the Australian Information Commissioner (OAIC) by phone on 1300 363 992 or by using the contact details on the OAIC website.

Changes to this Policy

We may update this Privacy Policy from time to time with or without notice to you. We recommend you visit our website regularly to keep up to date with any changes.
